Frequently asked questions about using Wintro as a recruiter.

Can I change the search filters or match criteria after opening a vacancy?

No. Once a vacancy is opened for referrals, the filter and match criteria are locked to ensure consistent candidate evaluation. To use new criteria, close the vacancy, wait for the 1-hour cooldown period, then reopen it with updated settings.

How often does Wintro sync vacancies from my ATS?

Wintro syncs with your ATS every 4 hours. If you need a vacancy to appear sooner, you can manually add it using the + button in the Vacancies tab. You can also trigger a manual sync from the settings page.

Why aren't employees getting suggestions for my vacancy?

Common reasons:

  • The vacancy hasn’t been opened for referrals yet (check the Candidates tab)
  • Filters are too restrictive — try broadening your Similar Job Titles or removing location constraints
  • Employees haven’t synced their networks yet — check the Team tab for sync status
  • The match criteria are too strict — candidates need to score above 50% to appear in employee suggestions
How do I know which employees have synced their network?

Check the Team tab. Each team member’s row shows their sync status. If someone hasn’t synced, you can send them a reminder email directly from the Team tab.

What's the difference between accepting and shortlisting a candidate?

Accepting a candidate means you approve them for employee referrals — they’ll appear in connected employees’ suggestion lists. Shortlisting adds the candidate to your personal shortlist where you can track them and potentially reach out directly. You can do both.

Can I nudge the same employee multiple times?

Yes, but use good judgment. The nudge interface shows when a colleague was last nudged and by whom, so you can avoid over-messaging. Space out your nudges and consider using different channels (Slack, Teams, email) for variety.

A candidate was referred but hasn't applied. What should I do?

The referring employee sent them a personalized link, but the candidate hasn’t clicked through yet. You can:

  • Ask the referring employee to follow up with the candidate
  • Wait a few days — candidates don’t always act immediately
  • Check the candidate’s status in the Referred stage of the Candidates tab
How do referred candidates end up in my ATS?

When a candidate clicks the personalized referral link and submits their application (contact details, CV), that data is pushed directly into your ATS. The candidate appears in your ATS as a referral for the associated vacancy. Wintro does not store the candidate’s private details — they go straight to your ATS.

Can I use Wintro without an ATS integration?

Yes. You can manually add vacancies through the + button in the Vacancies tab. Referred candidates will still go through the application process, but their data won’t automatically sync to an ATS. You’ll see referrals in Wintro’s tracking instead.

How do I add employees who don't have LinkedIn?

You can add any employee to Wintro via the Team tab (manually or CSV upload). However, without a LinkedIn connection, Wintro can’t sync their professional network, so they won’t receive AI-generated suggestions. They can still be part of the team for manual referrals if your company supports that workflow.

Can multiple recruiters work on the same vacancy?

Yes. All recruiters in your company can see and manage all vacancies. Actions like accepting, rejecting, and nudging are shared — everyone sees the same candidate pipeline and can take action.

What happens when I close a vacancy?

Closing a vacancy:

  • Removes it from employees’ suggestion lists
  • Preserves all referral and recommendation data
  • Starts a 1-hour cooldown before you can reopen it
  • Does not delete the vacancy — you can view its history at any time
How do I connect additional chat channels (Slack, Teams, Google Chat)?

Go to Settings and look for the Communication section. You can connect multiple chat platforms simultaneously. Each platform requires a one-time authorization. Once connected, all channels are available when nudging colleagues.

Can I see why the AI scored a candidate a certain way?

Yes. Click on any candidate to see a detailed breakdown of their score, including how they were evaluated against each match criterion, their positive and negative traits, and the AI’s reasoning. This helps you understand the match and provide feedback if needed.

Employees aren't responding to nudges. Any tips?
  • Use chat over email — Slack and Teams messages get faster responses than emails
  • Personalize the message — Use the AI-generated message option with a casual or funny tone
  • Nudge about specific candidates rather than general vacancy reminders
  • Timing matters — Avoid Monday mornings and Friday afternoons
  • Lead by example — Connect your own LinkedIn network and make referrals yourself
