Gmail (Email Sending)
Connect Gmail so Wintro can send nudge emails from each recruiter's own Google Workspace mailbox.
Wintro can send nudge emails directly from each recruiter’s Gmail account, so colleagues see messages from a familiar sender rather than a generic Wintro address. Connecting Gmail is opt-in per recruiter and managed from their own settings.
Note: Gmail sending is optional. Recruiters who don’t connect Gmail can still send nudges, they just go via Wintro’s default sender.
How It Works
When a recruiter sends a nudge from Wintro, Wintro uses the Gmail API with the recruiter’s authorised credentials to deliver the message. The email arrives in the recipient’s inbox as if the recruiter sent it from Gmail directly, and a copy lands in the recruiter’s Sent folder. Tokens are refreshed automatically; if a refresh fails (revoked access, expired refresh token), the recruiter is prompted to reconnect.
Permissions Requested
Gmail sending uses the same unified Google OAuth flow as login, so the consent screen lists all three scopes Wintro can use:
| Scope | Purpose |
|---|---|
https://www.googleapis.com/auth/gmail.send | Send emails on the recruiter’s behalf. Send-only — Wintro cannot read, modify, or delete any messages in the mailbox. |
https://www.googleapis.com/auth/userinfo.email | Identify the connected Google account |
https://www.googleapis.com/auth/userinfo.profile | Display the connected account’s name in Wintro |
How to Connect Gmail (For Recruiters)
- In Wintro, go to Settings > Communication
- Find the Google integration card and click Connect
- You’re redirected to Google’s account chooser, pick the Google account you want to send nudges from
- On the consent screen, make sure all three scopes (including
gmail.send) are checked before clicking Allow - You’re back in Wintro. Your connected Google address is now shown on the integration card.
To start sending from this address, scroll to Email Provider on the same settings page and select Personal Gmail. Wintro displays the connected Google email next to the option so you can confirm it’s the right account.
Reconnecting and Disconnecting
- Reconnect — If your token becomes invalid (e.g. you revoked access in your Google account settings), Wintro shows a “Nudging via Gmail not active” banner with a Reconnect button. Click it and re-authorise to restore sending.
- Missing scope — If you connected Google but declined the
gmail.sendscope, selecting Gmail as your email provider shows the message “Gmail send permission not granted. Reconnect above to enable.” Click Reconnect and grant the missing scope. - Disconnect — On the Google integration card, click Disconnect. Wintro removes your stored credentials. If Gmail was selected as your email provider, the option disappears from the list, switch your provider before disconnecting if you want to keep sending nudges.
Admin Approval Required (Sometimes)
If your Google Workspace admin has restricted third-party app access, individual recruiters won’t be able to grant the gmail.send scope on their own. In that case, your admin needs to allow Wintro for the gmail.send scope.
For Google Workspace Admins: Allowing Wintro
- Sign in to admin.google.com as a super admin
- Go to Security > Access and data control > API controls
- Click Manage third-party app access > Add app > OAuth App Name or Client ID
- Search for Wintro
- Choose Trusted (or Limited with the
gmail.sendscope) - Apply to your whole organisation or scope to specific organisational units
Once approved, recruiters can connect Gmail from their settings without further admin involvement.
Troubleshooting
“Access blocked: This app’s request is invalid” — Your Google Workspace admin has restricted third-party access. See the section above.
“Gmail send permission not granted. Reconnect above to enable.” — You completed Google sign-in but didn’t tick the gmail.send scope on the consent screen. Click Reconnect on the Google integration card and allow all three scopes.
Gmail option missing from the email provider list — You’re not connected to Google. Connect from the Google integration card on the same page.
Emails sent from Wintro don’t appear in my Sent folder — Check that the connected Gmail account is the same one you’re checking. Wintro only writes to the Sent folder of the account that authorised it.
Bounce-backs — Bounces are handled the same way as any email you send from Gmail directly. Check the rejected message in your Gmail mailbox for the bounce reason.
